At TBWA\Chiat\Day New York, the project manager is a key team member on all agency projects.

Responsibilities and Tasks Coordination of and ability to manage a portfolio of projects. ? Project Initiation. o Establishing a job folder ? Scope & Time Management: o Developing thorough schedules, identifying down to the sub-task level, assigning resources, and establishing predecessors and dependencies. o Ensuring that planning and account management meet the creative briefing and the production timetable. o Driving the project team to schedule in a constructive, collaborative, and partnership-inspired manner ? Cost Management. o Monitoring overall costs within each project, including confirming with account that the client has approved all estimates. ? Quality management: o Managing the timely delivery of reviewed and approved deliverables to account management for presentation to the client. o Ensuring that the expectations regarding a project’s QC are clearly documented to the team (e.g., proofreading guidelines, etc.) ? Logistics management – routing through the agency team: o Concepts and comps. o Copy and layout. o Readers. o Mechanicals. o Blue lines (in partnership with print production). o Match prints (in partnership with print production). o Laser proofs (in partnership with print production). ? Project human resource management: o Once resources are assigned, ensuring that they are beginning and completing their sub-tasks on schedule, and providing information and interim deliverables to other members within the team. o Identifying coverage gaps and working with their management team to establish contingency coverage. ? Project communications management: o Assist with briefing the internal team. o Manage the information preparation and information flow into studio (clear, documented instructions, guidelines, etc.) o Ensuring that all members of a project team are fully apprised as to current status and their required next steps to ensure successful project completion.) o Attend all status meetings ? Project risk management: o Change management. Confirming account management documentation of client amendments and revisions, updating the timeline and resource allocations where required, and apprising the team of any resulting changes (especially account, who in turn must apprise the client). o Timely identification and dissemination of issues, which could impact the project’s success, along with suggestions for workaround or resolution. ? Project procurement management: o Maintain accuracy in entering job numbers in accordance with the requirements of TBWA\Chiat\Day’s financial department ? Maintaining up-to-date status reporting: o Ultimate ownership of the project status report o Developing and distributing internal conference/meeting/status ? Project archival: o Closing and wrapping the job Values:
